How To Schedule Reports

Automatically deliver Voyc reports with the right filters, to the right people, at the right time

Why This Matters

Teams often need the same reports for weekly check-ins, monthly reviews and stakeholder updates. Pulling those reports manually takes time, invites inconsistency and usually happens when nobody wants to be awake.

Report Scheduler lets you schedule any Voyc report with customised filters and automatic delivery at a chosen cadence. Once it is set up, reports arrive consistently and on time, without manual effort or last-minute exporting.

Permissions: You will need to have to be an Organisation Owner or Admin to be able to schedule reports

Where To Find Report Scheduler

Navigate to Reports in the left panel and select Schedule.

You will land on the Once-Off Reports tab by default.

Understanding The Report Scheduler Pages

The Report Scheduler is organised into two tabs, making it easy to manage both one-time and recurring reports from a single place.

Once-Off Reports

This tab shows all scheduled and delivered Once-Off reports.

Table columns include:

  • Name

  • Report Type

  • Run Date

  • Level (Organisational or Channel)

  • Status (Scheduled or Delivered)

  • Actions

Available actions depend on status:

  • Scheduled reports show Edit, View and Delete

  • Delivered reports show Reschedule, View and Delete

Edit - View and edit your report

View - View the report details. An option to edit is here too.

Delete - this will delete the scheduled report

Reschedule - this will allow you to reschedule the same report.

πŸ“ Note: You will only be able to edit and delete your own reports. You can view only your reports by toggling the Filter by My Schedules.

Recurring Reports

This tab displays all reports scheduled to run on a recurring cadence such as daily, weekly and monthly.

Table columns include:

  • Name

  • Report Type

  • Level

  • Status with an Active / Inactive toggle

  • Actions: Edit, View and Delete

The status toggle allows you to pause a recurring report without deleting its configuration.

Helpful Controls

  • My Schedules toggle: Filters the list to show only reports you created

  • Report counter: Displays how many scheduled reports you currently have

πŸ“ Note: Once you reach your maximum allowed Once-Off reports, will need to delete or delete existing schedules before creating new ones. You will still be able to create recurring reports, however they will be set to inactive on creation, you will need to deactivate another report before you are able to activate the new one.

How To Schedule A New Report

Select Schedule New Report in the top right corner from either tab.

Step 1: Select The Report

  1. Choose the Report Level, Organisational or Channel

  2. Select the relevant Report Type card

  3. Select Next Step at the bottom right

Step 2: Schedule Delivery

This step is where you choose whether the report runs once or on a recurring cadence.

  1. Select Once-Off or Recurring

  2. Configure delivery:

    • Once-Off: Choose execution date and delivery time

    • Recurring: Choose frequency (Daily, Weekly or Monthly), day of the month / week and delivery time. If you Choose Daily, select the days of the week you would like to receive your report.

  3. Enter a clear, descriptive Report Name e.g. Monthly Dead Air Report

  4. Optional: Select Recipients from the dropdown. If you do not select a recipient the report will be sent to whomever created the scheduled report.

  5. Optional: Add a Team by selecting an option from the list or searching for the team. If there is no team available, there is none set up for your organisation.

  6. Select Next Step

πŸ’‘ Tip: Use names that make sense to anyone receiving the report. Clear naming prevents confusion later.

Step 3: Configure Report Required & Recommended Filters

Configuration options depend on the report selected, but standard settings include, but are not limited to:

  • Channels: Required for Organisational reports, not required for Channel reports

  • Reporting Period:

    • Last Week

    • Week To Date

    • Last X Days (1–90)

    • Last Month

    • Month To Date

❗ Important: Reports can only look back a maximum of 90 days.

Optional filters may include:

  • Confidence Range: Minimum and maximum percentage

  • Call Length: Minimum and maximum minutes

Select Next Step when finished.

Step 4: Additional Filters (Optional)

If you selected a Channel Level report, you can Filter by Attribute as well as Group by Attribute.

  1. Select an Attribute from the dropdown lists.

  2. Select Next Step when done.

Step 5: Confirm and Schedule

Review all configuration details on the confirmation screen.

  • Select the Previous Step button or Back arrow in the top left to make changes

  • Select Schedule Report to finalise

A confirmation pop-up will appear with two options:

  • Create Another Schedule

  • Done, which returns you to the scheduler overview

Rescheduling a Once-Off Report

You can reschedule a Once Off Report once it has been delivered by selecting the Reschedule icon.

You will be taken to the scheduled report configuration. Change the execution date and any other available filters if needed. You will not be able to edit the reporting period.
