Using the Report Library

Easily track, manage and download your reports all in one place

🚧 The Report Library is currently in early Beta and available on request. Some known issues exist, but they do not affect overall functionality. We welcome feedback to help inform future enhancements.

What is the Report Library?

The Report Library is your central hub for creating and managing reports in Voyc. You can now generate both Organisational and Channel Reports from one place, track their progress in real time, view your full report history and download them directly within the platform. Everything you need for reporting lives in one streamlined workspace designed for speed and simplicity.

Why it Matters

The Report Library gives you complete visibility and control over your reporting. It brings clarity to your data workflow, saves time by keeping everything in one place and ensures you always have the latest insights at your fingertips. With real-time tracking and instant downloads, reporting is now effortless and predictable.

What it Does

  • Gives you clear visibility on report progress, so you always know when your data is being generated and when it is ready

  • Allows you to conveniently generate organisational and channel reports in one place, saving you time

  • Enables instant in-app downloads, helping you access results faster without switching between tools

  • Brings all reports together in one central place, making it easy to track, manage and reference past reports

  • Minimises the need for email-based workflows, keeping everything organised and accessible inside Voyc

How to Access the Report Library

You can access the Report Library at both the organisation and channel level.

  • The Organisational Report Library lets you generate and view all organisational and channel reports in one place.

  • The Channel Report Library lets you generate and view reports specific to that channel.

To open the Organisational Report Library, select Report Library from your side menu. You can also access it directly from your Dashboard by selecting Go to Report Library in the top right corner.

To access the Channel Report Library:

  1. Go to the Channel you would like to view the reports for.

  2. Select Channel Reports from the side menu

Generating reports

When you first open the Report Library, you might see the message:

β€œNo Results Found

There are no reports in this filter range. Adjust your filters and try again.”

This simply means you have not generated any reports yet (or check your date setting if this is not your first time) . To get started, you will need to create one first.

To start using the Report Library, you will need to generate a report first. We will demonstrate this from the organisational Report Library page:

  1. From your Report Library, select Generate Report in the top right of the page.

  2. Choose the report you would like to generate and click Next Step.

  3. Complete the required and recommended filters.

  4. Click Next Step.

  5. Define any additional filters for your report if applicable. Examples include filtering by Attribute and/or Tag and decide whether to Group by Attribute. These are optional and also depend on the type of report you are generating.

  6. Click Next Step, review your report setup and select Generate Report.

  7. A pop-up will confirm that your report is being generated. Click Done to close it or Generate New Report to create another.

  8. You can download the report by selecting the Download icon

Navigating the Report Library Page

Report Library Dashboard

Once you have generated a report, it will appear on the dashboard with the following information:

  • Report Type

  • Status

  • Date Generated

  • Reporting Period

πŸ“ Note: The Reporting Period may sometimes show Invalid Dates but still generate the correct information. This can also appear if a selected channel has no data available for the chosen dates. The behaviour is being optimised and refined to improve consistency.

Understanding Report Statuses

Each report shows a status tag so you can see progress at a glance.

  • Processing: The report is still generating.

  • Ready: Your report is complete and ready to download.

  • Failed: Something went wrong during generation.

πŸ’‘ Tip: Reports stay available for 90 days. You will see an expiry label showing how long each report remains accessible.

πŸ“ Note: There is a known error where the failed label is not generating. Failed reports will show as still processing. If your report takes longer than 15 minutes to an hour to process, please contact Support. Report processing times depend on the size of the report and the time of day and month. For example, reports may take longer to generate at the beginning of the month when reporting activity is higher.

Downloading your report

On the right-hand side of each report, you will see a Download icon. You can download your report as many times as you like.

If the icon is greyed out, it means the report is still processing or has failed. Once the report is ready, the icon will become active and you can click it to download immediately.

Finding a Report For Download

  1. Use the Report Library to find your completed report. You can sort or filter your list for easier navigation.

  2. Download it by selecting the Download Icon on the right of the report, the file will download immediately without needing to check your inbox.

πŸ“ Note: You will still receive an email asking you to log in and download your report. If you select the link in this email, you will be taken to the Report Library where you can download your report. More functionality around emails is still being built.

Managing Reports

  • Reports automatically expire after 90 days.

  • Expired reports are removed to keep the library clean and efficient.
