Voyc provides you full control over your organisation’s access by ensuring that only your team members can access your organisation. Voyc staff will only request access when necessary, and you have the ability to approve or deny their requests.
During the onboarding process, Voyc staff, including the Customer Operations team (comprising of an Implementation and Onboarding Manager and Technical Success Analysts), will have temporary access to assist with onboarding, configuration, and system setup. Once onboarding is complete and your organisation is fully operational, Voyc staff will be removed, leaving you with full control over your Voyc organisation.
In this article, we will walk you through the steps to approve, deny or revoke Voyc staff access requests.
Why would Voyc staff request access to your organisation?
There may be instances where Voyc staff could need temporary access to assist you. These include:
Troubleshooting issues: If you encounter bugs or system issues, a Customer Operations team member or Voyc Technical team member can request access to diagnose and resolve the problem.
Configuration assistance: If you need help setting up advanced configurations such as a complex scorecards, refining scorecard or alert keywords, then a Customer Operations team member can request access to assist you.
Integration issues: Customer operations can request access to troubleshoot any integration issues.
How to Accept or Deny a Staff Access Request
Receiving a Staff Access Request
When a Voyc staff member requests access to your organisation, you will receive an email notification.
Open the email and click on the Action Request button.
You will be redirected to the Voyc Access Configuration page, where you can approve or deny the request.
📝Take note: Only organisation admins or owners will receive and action staff access requests.
📝Take note: You have 24 hours to respond to the request. If it is not accepted within this timeframe, the Voyc staff member will need to submit a new access request.
Before the request expires, you will receive the follow up email below, prompting you to respond to the staff access request before the deadline.
Approving a Staff Access Request
On the Voyc Access page, you will see a list of all Voyc Staff Access Requests, including pending and actioned ones. At this stage, you only need to focus on the pending requests.
To approve pending Voyc staff access requests, follow these steps:
Click on the Respond button next to the request.
Review the permissions the staff member will be granted:
Permitted actions:
Modify all aspects of the organisation
Modify all channels
Invite or remove members
Restricted actions:
Cannot remove the owner of the organisation
Cannot modify user accounts or passwords
Click on the Approve button ****to grant access.
When the request is successfully approved, the Voyc staff member will be notified and they will have access to your organisation for the requested time.
📝Take note: The Voyc team member has access to your organisation for up to 72 hours. When the allotted time expires, they will need to request access again.
Deny a Staff Access Request
If you do not wish to grant access to the Voyc staff member, click Deny.
The Voyc staff member will be notified that the request has been denied. If they think it is a mistake they can send a new request.
Revoking Staff Access
If you need to revoke staff access before the requested period expires (after approving access):
Navigate to the Voyc Access page.
Locate the staff member’s access entry.
Click Revoke Access to remove them immediately.
Managing Voyc staff access ensures you retain full control of your organisation and its data whilst receiving the necessary support when needed. By following the steps above, you can efficiently manage Voyc's access to your organisation.
