How to Add Members and Create Teams on Voyc

Learn how to add members to your Voyc organisation, manage their channel access, and create teams

Ready to get your team set up on Voyc? This article covers everything you need to know about managing access on the platform.

Voyc uses a two-level access structure: Organisation access and Channel access. Members are added to the organisation first and then assigned to the specific channels they need to work in. You can also create Teams to group members together for targeted workflows, such as alert resolution or call grading.

This article will guide you through adding members, assigning channel access, and creating teams.

📌 Important: Only users with Admin or Owner permissions will have the ability to add new members and set their permissions on the Voyc system.

Organisation Roles

Every member of your Voyc organisation has one of three roles:

Role

What they can do

Owner

Full access to everything: organisation settings, all channels, member management. One per organisation.

Admin

Same access as Owner. Can add and remove members and manage settings.

User

No access to organisation settings. Can only see the channels they have been added to.

📝 Note: All roles (Owner, Admin, and User) can view dashboards and pull reports. Users can only report on channels they have been added to.

Adding Members to Your Organisation

To add a new member:

  1. Go to Settings in the left navigation panel.

  2. Select the Members tab.

  3. Enter the new member's email address in the Invite User field and click Invite.

The member will receive an email invitation. Once they accept and set up their credentials, their status will update to Active and they will be assigned the role of User by default.

You can change a member's organisation role at any time by using the role dropdown next to their name in the Members list.

📝 Note: If the status shows Resend Invite, the member has not yet accepted their invitation. Selecting this will resend the invite.

Managing Channel Access

Being an organisation member does not automatically give someone access to any channels. You need to assign channel access separately.

Channel Roles

Owner

Full access: edit all channel configuration, grade conversations, resolve alerts, leave comments.

Contributor

Can grade conversations, edit alerts, and add comments. No access to channel configuration.

Viewer

View-only access. Can see the channel, conversations, and alerts but cannot edit or take action on anything.

Option 1: Manage Channel Access from Organisation Settings

  1. Go to Settings > Members.

  2. Click the three-dot menu (⋯) at the end of the member's row.

  3. A modal will appear showing all channels in the organisation. Click Add next to any channel to give the member access, or use the role dropdown to change their existing role.

Option 2: Manage Channel Access from the Channel

  1. Open the relevant channel from the left navigation panel.

  2. Select Configurations.

  3. Click the Members tab.

  4. Search for the member by username or email address. Select them from the results.

  5. Assign or update their channel role using the dropdown.

Removing Members

To remove a member from the organisation, go to Settings > Members and click Remove next to their name. This will remove them from the organisation and all channels.

To remove a member from a specific channel only, go to the channel's Configurations > Members and click Remove next to their name.

Creating Teams on the Voyc Organisation

Creating a dedicated team for specific responsibilities on Voyc can significantly enhance efficiency. For example, you can create a team for members responsible for resolving alerts or a team focused solely on coaching tasks in your workflow. To do this, simply create the teams on Voyc and add the relevant members who are already part of the Voyc Workspace. Follow these steps to get started:

  1. Click Settings and go to the Teams section.

  2. Click on Add Team.

  3. Name your team and provide a description explaining its purpose, such as resolving alerts.

  4. Add the relevant members that should be part of the designated team.

💡Voyc Tip: Establish a dedicated team, such as "QA-Grading," responsible for call grading on Voyc. Once this team is created, you can limit the grading workflow tasks exclusively to this team. As a result, any individual not part of this designated team will be unable to access the grading workflow task.

Frequently Asked Questions

Can I change user permissions at any point?

Yes, you can change permissions of a user at any point. You can do so by navigating to Settings and select Members, you will then spot a list of the users you have added including their roles.

Is there a selected number of users I can add?

Yes, the number of users you can add depends on your plan. While you can have unlimited viewers and commenters, the selected number of users who can perform actions on the system varies depending on your plan.
